You should have received an email from SHC Secretariat inviting you to present a Free Paper as an Oral Presenter.

ALL ORAL PRESENTERS

By 25 May 2023 All persons making an Oral Presentation must:

• Download, review and sign the Speakers Agreement
Upload your Presentation Slides
Upload your Pre-recorded Video if you are attending digitally (not required if you are attending the conference in person).
Register for the Combined GiHEP & Singapore Heptology Conference. A One Time Promo Code would have been sent to you in your Notification Email.

The Combined GiHEP and Singapore Hepatology Conference would prefer if you can deliver your Oral Presentations Live in person in Singapore. To that then, some travel Grants may be available.

If you are an Oral Presenter, you may provide the name of a replacement Speaker from your author string to present in your place. However there is provision for you to pre-record and upload a video of your talk if you are unable to deliver it yourself.

You may (not compulsory but recommended) also upload an e-Poster in addition to the Oral Presentation. Please click on the Information for Poster Presentation for more information.

On the day of your presentation

If you are presenting LIVE in person, Please arrive at your designated meeting room 15 minutes before the start of your session and let the Session Moderators know that you are there. The Sessions Rooms will be clearly sign posted.

If you are Presenting Online Remotely, a Speaker/Panelist Links will be sent to you by email if you are attending and delivering your talks remotely. Please arrive at your designated online meeting room 15 minutes before the start of your session.

If you are Coming to Singapore:

If you are coming from overseas, then, before your arrival You must:
Reserve your flight and hotel. Some suggestions for hotels are found in Attendee/Visitor Information.

Check on Immigration and Checkpoint Authority to determine your Visa Requirements. If you require an Invitation Letter, please click on Singapore Visa Invitation Letter to fill in the form for the letter.

Check on the Singapore Public Health Requirements to find out the latest on the Singapore government Covid and other health regulations.

If you have not uploaded your Oral Presentation Slides before 25 May 2023 and you are attending in person, then you may bring your Slides to the Speaker Ready Room. Which will be open from 31 May 2023 to 3 June 2023

After You Arrive in Singapore

Check into your hotel
You must check in at Speaker Ready Room at least 12 hours before your scheduled presentation.

If you have not submitted your Presentation Slides before Friday, 25 May 2023, then please go to the Speaker Ready Room to ensure the quality of your presentation(s) including fonts, bullets, outlines, animations, etc.

Computers at Speaker Ready Room will be configured with the same hardware and software as those in the meeting rooms to allow you to verify that your file will display properly during your session. All presenters are required to submit their presentations no later than 24 hours prior to their presentation times.

It is imperative that you review your presentation at Speaker Ready Room where technicians can help resolve any compatibility or formatting issues and explain the in-room setup.

The Speaker Ready Room will be located in Suntec and clearly sign posted. Hours of Operation will be:

1. Click on Oral Presentation Slides Template if you would like to use it. It is NOT compulsory to use the template

2. Required Slide Information
Introduction Slide: Provide a brief background on yourself or your experience/expertise in the field
Disclosure Slides: Include a disclosure slide at the beginning of your presentation(s).
Key Take-Away Slide: Include at least one key takeaway slide in your presentation(s). The goal for this slide is to briefly summarize your key findings in a bullet point format; provide recommendations or actions to reinstate your message. Consider what “take-aways / key points” you want the attendees to remember from your presentation.
Patient Confidentiality: You are responsible for removing all patient-identifying information from your presentation. If your slides contain images or information about patients or other individuals, you are responsible for obtaining appropriate patient consent to include the material in your slides and authorize SHC to record the presentation.
No product-specific promotional material or event may appear or occur in educational space or material or during an educational activity.

3. Number of slides and timing of Presentation:
3 minutes: Introduction (3-4 slides)
5 minutes: Data & Results (7-9 slides)
2 minutes: Summary (1-2 slides);
Limitations/Future Directions (1-2 slides);
Acknowledgements (1 slide)
5 minutes: Q&A
NOTE: Time Limits will be strictly observed.

4.  Pre-recorded Videos

  1. Record your video using MP4, MKV, or AVI file formats. The resolution should be 1080p or better for optimal streaming quality.
  2.  The video length is no more than time allocated in the Programme.
  3.  Name your finished video with Abstract No., Title and your name.
  4. We recommend a full-screen presentation format for your content (slides, demos, etc.) with a picture-in-picture speaker view.
  5. We suggest using a high-quality microphone and record with a minimally-distracting background for the best quality.
  6. Upload your video to Google Drive and share the Video with ask-us@shc-sg.com

5. All presentations at this year’s Meeting will be in WIDESCREEN format. To take full advantage of the new widescreen format, we recommend that you build or convert your presentation to 16:9. For more information on how to change an existing 4:3 presentation into a 16:9 widescreen format, please see below.

If you choose not to use the widescreen template, your presentation will perform as expected, however, the presentation will be displayed with “pillar boxed” on the 16:9 screen. If you would prefer to use your own PowerPoint template, you can change an existing 4:3 presentation into a 16:9 widescreen format by following these few steps:
For PowerPoint 2010 and 2007, Click the Design tab, and then click on Slides Sized For. In the drop-down menu, select On-Screen Show (16:9) and click
OK.
For PowerPoint 2013, Click the Design tab, and then click on Slide Size. In the drop-down menu, select Widescreen (16:9).
For PowerPoint 2016, Click the Design tab, click on Page Setup. In the drop-down menu, select On-Screen Show (16:9) and click OK.

IMPORTANT: If you convert an existing presentation to widescreen, your slides will expand to the new size. If you have any videos or photos in an existing PowerPoint, they may need to be resized so they do not appear stretched. Also, be sure to check animations to ensure the elements line up correctly.

a. You MUST upload your Presentation Slides at Speakers’ Presentation Slides Upload. and your a pre-recorded Video of your presentation in the same site regardless of whether you are attending the conference physically or digitally.

b. Slides can be uploaded until Thursday, 25 May 2023. After that date, all slides will need to be brought to the Speaker Ready Room. Which will be open from 31 May 2023 to 3 June 2023

c. Please click on the Speakers Schedule for your Presentation Session (date, time and place) found in the Speakers Tab which will be updated from time to time..

d. You may (not compulsory but recommended) also upload an e-Poster in addition to the Oral Presentation. Please click on Poster Presentation Upload for more information.

e. If you have not submitted your Presentation Slides before Friday, 26 May 2023, then please go to the Speaker Ready Room to ensure the quality of your presentation(s) including fonts, bullets, outlines, animations, etc.

Backup: Please bring a copy of your presentation with you when you depart for your meeting. Copy your PowerPoint and all videos to a folder on a USB flash drive. Bring videos file as separate files, even if embedded in your presentation. It is a good idea to store a second copy either in the Cloud or on a second flash drive.

Session Rooms: Please arrive at your designated meeting room 15 minutes before the start of your session and let the Session Moderators know that you are there. The Sessions Rooms will be clearly sign posted.

Mac Users: The single most important thing you can do is stop by the Speaker Ready Room and view your slides on the computers that will be at the conference. We will have the room staffed to assist with any minor changes if needed. Please don’t use Mac-exclusive fonts. Keynotes will need to be converted to PPTX or PDF, the onsite staff can assist with this process if needed.

Computer Equipment: The Speaker Ready Room will be staffed with audiovisual technicians who can assist in overcoming any challenges you may encounter with your presentation, provided that you follow the guidelines noted above. In addition:

List of Preferred Media (Video/Audio) Formats: (.wmv) (.mpg) (.avi) (.mov). Please try to keep the video file size to less than 20MB if possible. Use short video segments when needed.

e-Resources: Your Oral Presentation may be recorded and uploaded to the SHC ON-Line Education as an E-Resource. If you do NOT wish the recording of your Oral Presentation to be included as an e-Resource, please let the SHC Secretariat know at ask-us@shc-sg.com and it will be removed after the SHC Conferences.

SHC does NOT allow videos made available on it’s E-resources site to be downloaded. However SHC cannot guarantee that the viewers will not record the video on their own screen.

Meeting room computers are connected to the internet however it’s quality cannot be guaranteed. Links to web pages may not function and may cause issues if clicked accidentally during your presentation. We strongly recommend removing all links from your presentation.
